You send us an email with the dates, or even better options around a date, when you would like a hotel room.  We will send your submitted bio (see Kids Served) to our contacts at several hotels and companies in the city you are looking for and see if we can find you a free room.  It may take us several days, but we will let you know regardless no less than 48 hours in advance.  It is that simple for you—we do all the work and take on the stress.  You will remain responsible for all other charges associated with your stay. 

You will be required to supply supporting material that clearly indicates that the child in question is in need.  The definition of need is that the child is terminally ill, or requires extensive medical care as documented by prior hospital stays and a confirmation letter from the attending medical team.

It is also expected that the use of the room will allow the company to use the information for internal employee communications without any form of compensation to the child or family.
